7. Cancellation & Refund Policy

White AI Analytics Private Limited (“Company”, “we”, “our”, “us”) believes in helping its customers as far as possible and has therefore adopted a transparent and fair cancellation and refund policy for its Software-as-a-Service (SaaS) offerings.

A. Subscription Cancellation

• Customers may request cancellation of their subscription within 3–5 days of initial purchase or activation, provided the service has not been substantially used or configured.
• Cancellation requests must be submitted in writing to our official customer support channels.
• Once a subscription is cancelled, access to the platform and associated services will be revoked at the end of the applicable billing cycle unless otherwise stated.

B. Non-Cancellable Scenarios

Cancellation requests may not be entertained in the following cases:

• If the subscription has already been activated, onboarded, configured, or customized specifically for the customer.
• If significant usage of the software, APIs, integrations, or reports has already occurred.
• For one-time setup fees, onboarding charges, implementation fees, or professional services, which are non-refundable once initiated.

C. Free Trials

• Subscriptions cancelled during a free trial period will not incur any charges.
• Once the trial period ends and a paid plan is activated, standard cancellation terms apply.

D. Refund Policy

• Refunds are applicable only if approved by White AI Analytics Private Limited after internal review.
• Approved refunds will be processed within 9–15 business days to the original payment method.
• Refunds, if any, will be pro-rated, excluding taxes, setup fees, and third-party charges.

E. Service Issues & Deficiencies

• If the customer experiences a material service deficiency or technical issue, the same must be reported within 3–5 days of occurrence.
• Our support team will investigate and attempt to resolve the issue within reasonable timelines.
• Refunds or service credits may be considered only if the issue is verified and remains unresolved.

F. No Refunds for Downgrades

• Plan downgrades or feature reductions during an active billing cycle do not qualify for refunds.
• Any changes will take effect from the next billing cycle.

G. Termination for Misuse

The Company reserves the right to suspend or terminate access without refund in cases of:

• Violation of Terms of Service
• Unauthorized usage
• Data abuse or security breaches

H. Policy Changes

White AI Analytics Private Limited reserves the right to modify this policy at any time. Any changes will be effective upon posting on our website.
